Position Description

Opportunity: The Sundborg Center for Community Engagement (CCE) is seeking a finance leader to manage the complex and multi-faceted funding sources, financial systems, and 3-million-dollar budget of the Center. The person in this role will work with various internal and external partners to ensure that goods and services are procured, expenses are tracked, and funds are spent in compliance so that we can make strategic decisions and execute the work. You will have the opportunity to be a part of all the financial components of the Center with an eye on analysis, processes, policies, and collaboration.

Overview: The Senior Manager of Budget and Financial Planning supports the financial planning for and fiscal management of the CCE in several key areas described below.

A person who is a good fit for this role will have a mind for financial analysis, consider compliance and risk management, approach collaboration with joy and curiosity, and center community and CCE programs in their processes and communication. They will have a high level of proficiency in Microsoft Office Suite, particularly Excel, Outlook, and Teams. They will be able to manage a large volume of simultaneous tasks and see that each is completed in a timely and accurate way. An ideal candidate centers anti-racist and anti-oppressive ways of being and engaging in their work and interactions with others. This position works in close partnership and reports to the Sr. Director for Operations and is a member of a dynamic five-person operations team, also working closely with CCE leadership and staff that supervise students as well as partners in the community and across Seattle University.

Essential Job Functions:
This position manages the daily operations and administration of the budgets and financial accounts associated with the Center, including university, gift, and sponsored project accounts. Key responsibilities include:

Financial Analysis- 25%
  • Analyze financial data to identify trends, risks, and opportunities. With the Sr. Director for Operations, the Executive Director, and Director of Development, develop and maintain financial models for budgeting, forecasting, and long-term planning. This includes updating our 10-year forecast as well as creating funding scenarios.
  • Perform responsive analysis in response to changes in programming or emerging financial needs.

  • Center budget presentations and reports that analyze expenses and revenue utilizing PowerBI or other visual models for leadership, staff, partners, and donors throughout the year. This includes presentations on past, current, and projected spend as well as reports to donors on how their funds are being used.
  • Manage and analyze processes and records related to all paid labor. This includes contractors, student employees, and staff and faculty wages, including analysis for equity.

Financial Processing and Administration -20%
  • Working closely with the Controller's Office and University Budget Office, act as Activity Manager for all CCE accounts using SU's systems, forms, and processes to complete all financial transactions for the Center.
  • Work with Student Employment, Payroll, and CCE's Associate Director of Campus Partnerships to maintain systems for student employment data and wages, which includes overseeing the hiring administration of 16% of Seattle University's federal work study allocation through community work study positions.
  • Develop and assist in executing contracts and agreements between the Center, SU, and external partners, including the processing of regular invoices and ensuring legal compliance.
  • Supervise student employee on the following:
    • Maintain platform where CCE staff submit expenses
    • Prepare monthly ProCard reports for all applicable staff
    • Prepare and submit larger orders through procurement system, working with CCE staff
    • Maintain tracking document for student employee wages
  • Balance Center accounts with respect to program and funding source on a quarterly basis.
  • Maintain an organized and secure financial records retention system.

Financial Tracking -20%

  • Maintain a comprehensive system of financial data tracking for all expenses and revenue associated with the Center, including student employment, staff wages, grants, gifts, and university funds. This system includes noting specific university accounting codes, invoice details, and Diverse Business Enterprise spend.
  • Regularly review university, funder, and internal reports for accuracy, compliance, and to identify potential issues or discrepancies.
  • Supervise and assist student employee in completing monthly reconciliations for the general ledger, salary reports, gift detail reports, and other official Seattle University reporting.

Center Budget and Accounts- 10%

  • Close out all Center accounts at the end of each fiscal year. This includes reconciling all negative balances, strategically optimizing spend amongst accounts, reporting funds that need to be returned to sponsors, and addressing any issues with accounts before the general ledger is final for the fiscal year.
  • With the Sr. Director for Operations, lead construction of the budget for the next fiscal year.
    • Partner with all CCE staff and leadership to construct accurate budget each year
    • Ensure budget includes specific justification, funding source, and object codes
    • Create budget template for managers to draft proposals, and create tools to help them keep track
    • Analyze variance between actual and budgeted spend
  • Regularly team with CCE staff on budgeting and address questions and resolve issues about the various Center budgets throughout the year.
  • Remain in communication with the Provost's office to manage university operating fund.

Grant Compliance- 10%

  • Partner with Office of Sponsored Projects to communicate with CCE staff on their respective grant responsibilities and existing audits, policies, and procedures to ensure compliance.
  • Track revenue and expenses and maintain backup documentation related to sponsored projects.
  • Create and submit all financial reports required by sponsors. These can be monthly, quarterly, or annually depending on the grant.
  • Participate in all pre-award financial activities, including the development of proposal budgets and submitting the required internal paperwork with the Office of Sponsored Projects.
  • Participate in all post-award financial activities, including contracts and agreements, financial transactions, records management, reporting, amendments, and close outs.


Sundborg Center Teaming - 10%
  • Actively participate in Sundborg Center for Community Engagement staff meetings, team meetings, planning sessions and retreats.
  • Join cross-Center work groups and committees to complete specific projects and goals.
  • Respond to CCE colleagues' e-mails and calendar invites in a timely manner.
  • Attend CCE, campus and community events.


Financial Representative- 5%
  • Actively partner with SU departments such as Procurement, the Provost's Office, University Counsel, Student
  • Employment, and Office of Sponsored Projects as the financial representative of the Center.
  • Serve as financial representative of the Center for all external vendors.
  • With Senior Director of Operations, attend regular financial management meetings including Major Financial Managers and Office of Sponsored Projects meetings.
  • Respond to financial questions from internal and external stakeholders.



Qualifications

  • Ability to analyze and interpret financial data and prepare financial reports, statements and/or projections
  • Finds joy in working collaboratively with a diverse team and an openness to learning from different experiences
  • A willingness to engage, communicate with and present complex ideas to people from a variety of backgrounds from staff to students to community members and partners.
  • B.A./B.S. in finance, administration, or other related field
  • At least three years of relevant experience in budget or finance
  • Incredibly reliable, consistent, and detail-oriented
  • Strong systems thinker
  • High level of proficiency and comfort in Microsoft Office Suite
  • Ability to work independently while in consistent communication with the Sr. Director for Operations
  • Have knowledge and understanding of issues related to racism and other systems of oppression
  • Ability to animate Seattle University's Jesuit Catholic mission, vision, and values.


Preferred Qualifications:
  • Five or more years of relevant experience or advanced degree
  • Previous experience at non-profit organizations is strongly preferred
  • Experience with community-based organizations, foundations, and/or government agencies
  • Knowledge of finance, accounting, budgeting, and cost control procedures
  • Prior professional experience with university systems
  • Experience with managing grants
  • Experience with PowerBI, Tableau, or other data visualization tools
  • Supervisory experience, particularly with student workers

Compensation at a Glance

Salary Range: $68,000 - $70,000

Seattle University has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, and not based on a candidate's gender or any other protected status.

Hybrid Eligible

This position may be eligible for a hybrid schedule after successful completion of an introductory work period of 3-6 months. This may mean that a hybrid eligible role will begin on-campus initially and then will transition to hybrid format following onboarding and training.
